Before a team member can access a Workspace in Docubee, they must first be a member of your Organization. If a user has only accepted a Workspace invitation but not the Organization invitation, they will not be able to view or access the Workspace.
If you have a member of your organization who sees the following message inside Docubee when logged in,
this guide will guide you through verifying that your team member is a part of your Organization and show you how to send or resend their Organization invitation.
1. Check if the user is in your organization:
- Log into Docubee with an account that has the necessary permissions to manage the Organization such as an admin account.
- Go to Manage Organization > Organization Settings > Members.
- Type in the user's email in the "Email(s) to Invite" field.
- If the user is already a member, the field will be highlighted red and when you hover over, you will see the message stating that the user is already a part of your Organization.
- If the user is listed, ask them to log out and back in or refresh the browser to see the changes take effect.
- If the user's email is not listed, this means that they have not accepted the Organization invitation yet.
2. Sending the Organization Invitation:
- If the user is not listed in your Organization, add their email in the “Email(s) to Invite” field and select Send Invitation.
- If you see a pending invitation listed for this user, click Resend Invitation to prompt them again.
3. Have the User Accept the Organization Invitation
- Ask the user to check their inbox for an email invitation from Docubee.
- Open the email and click on the acceptance link.
- Follow the on-screen instructions to complete the process of joining the Organization.
4. After the user joins the Organization, they should be able to view and access the assigned Workspace. If they still can’t see it:
- Ask them to log out and back in, or refresh their browser window.
- Double-check that the user is assigned as a Member in the specific Workspace.
