Getting Started with the Workflow Builder

Customize your workflow to match your business process by building out the business process steps using the Workflow Builder’s building blocks, referred to as Task Types. Pair them together to streamline your process and enhance efficiency. Automate your workflow and enhance productivity by using the most commonly paired task types, such as Web Form, Email, and Fill and Sign. Large and complex business processes will include such combinations, which may be repeated multiple times, to help participants through the tasks smoothly. This powerful combination harnesses the power to:
  1. Collect data, such as emails, for use in the workflow.
  2. Send automated emails with action buttons linking to tasks for the recipients.
  3. Display task types for participants to complete their work.

Basic Tips and Tasks for Using the Workflow Builder

Use these key tips and tasks to get started in the Workflow Builder! See Create a Workflow for more information.
  1. Insert your first task - it should be a Web Form task. Note: Use the web form to collect email addresses for the roles you’ll use later in the process.
    1. Rename your web form to identify its purpose.
    2. Add an Email field on your starting web form: 
      1. Change it to be a Required field and a Data Type of email. Note: Otherwise the emails collected will not be available in later tasks.
      2. Assign a suitable, easy to remember Property Name to the email field.
    3. Click Return to the Workflow Model to return to the workflow builder.
  2. You may insert an Email task.
    1. To display a Fill and Sign or other user-facing task to a participant in your workflow, you will need to tell that person that they have work to do and add a link (button) in the email.
    2. If the only email option on the To or CC fields is ‘Originator Email’, review step 2 (Add an Email field on your starting web form:) above.
    3. The email button in the participant’s email notification will link to a task in the workflow. For example, this could be a Fill and Sign task to allow the email participant to fill a form or sign a document.
  3. The Fill and Sign task must be assigned to the participant defined in your email field on your starting web form.
  4. Finally, it’s time to publish and run your workflow!
