Docubee’s SharePoint Integration

Modified on Thu, Jun 13 at 2:10 PM

Export your workflow documents directly to SharePoint: here’s how it works! SharePoint is a web-based team collaboration software that helps manage and store documents. This new integration with Docubee allows the ideas and documents to flow between platforms, and allows you to share any collected information. Let’s take a look at how to set up the integration.

Before You Begin

There’s a few things you’ll need to get started:
  • An Docubee account - you can go to Sign Up · Docubee to create a free account.
  • Access to SharePoint - you’ll log in to your SharePoint account through Docubee, so make sure to have your Microsoft account credentials ready. See Sign in to SharePoint for more information.

Create the Workflow

First, you’ll need to log into your Docubee account and create a new workflow from scratch. Then, edit the workflow in the Workflow Builder, give it a name, and add the following tasks: 1 - Web Form The first task in the workflow is a web form. Create a file upload field and give it a property name of Test_Upload. You can leave the rest of the options as their default setting. View of web form 2 - Export Document For the second task, choose an export document. Select the document from the previous web form, Test_Upload. We’ll set up the destination setting in this task in the next section of this article. Your workflow should look like this in the workflow builder: Document export workflow illustration

Connect to SharePoint

In the export document task inside the destination section, click on SharePoint. view of sharepoint connection Then, click the Connect to SharePoint button, which will open the modal prompting you for your Microsoft account credentials. After entering your username and password, you’ll be prompted to accept permissions that Docubee is requesting. If you agree and wish to continue, click Accept Now that your SharePoint account is configured, let’s choose where to send your document. Select the site, library, path, and file name for the task that will determine where the document is sent when this workflow is run. Sharepoint library destination view When this is done, you are finally ready to publish your workflow. Click the green Publish button in the top right corner of the workflow builder. Next Steps:

Now that your workflow task is complete, you can run your workflow, upload a document, and then send it to SharePoint. When you log in to SharePoint, you should see your document in the path that you configured in the export document task. In this example, we used an upload field in a web form to provide a document, however you can send documents to SharePoint from other Docubee actions as well, including:
  • A signed document from a fill & sign task
  • A templated document from a generate document from form data task
  • A combined document from a combine documents task
