I'm having trouble setting up custom SMTP in Docubee, what should I do?

Overview

Docubee allows you to configure custom SMTP settings within the organization settings. After modifying SMTP settings, emails sent from Docubee will appear as though they come directly from your organization's email server. 


This guide will outline common setup issues and troubleshooting tips to help you streamline your setup.

Common Issues


1. Error Messages During Setup:

 If your SMTP setup fails, you will see an error message providing details that can help identify the issue. In addition, it can be useful to screenshot this message when reaching out for support. Searching the error code (e.g. "smtp failure ETTIMEDOUT") may also provide additional solutions.

 

2. Firewall or Network Restrictions:

Your organization may have firewall settings that restrict SMTP traffic. Work with your IT team to ensure that the necessary IPs are whitelisted as specified in Docubee's setup guide to prevent network-related issues. 


3. Authentication and Credential Errors:

Confirm that the username and password entered are specific SMTP and not standard email login credentials. If your provider uses two-factor authentication (2FA), create an app-specific password or disable 2FA temporarily to verify the connection.



Troubleshooting SMTP Setup Issues

One of the best ways to test SMTP settings is to test your SMTP configurations outside of Dobuee:


1. Verify SMTP Configuration Outside of Docubee:

Within your command line, use a secure method such as telnet or openssl to test your connection These tools allow you to confirm that the server details are configured correctly.


2. Check SMTP Documentation from Your Provider

There could be unique requirements, especially regarding port numbers and security protocols, from your provider. Verify your provider's documentation to make sure you're using the recommended settings. 


3. Known Limitations:

Google App Access

Google/Gmail requires the setting "Less secure app acccess" to be turned ON. You can reference the following screenshot to find this in your Google settings:
